CHOOSE

Choosing the right set of tools is critical for achieving your goals.  Lack of due diligence at this stage can lead to waste of time and money trying to adopt a system that does not fit your needs. Given that hundreds of CRM, BI, and PM systems are available on the market, making a choice can be daunting. You cannot simply review advertised functionality, you also need to know the limitations and disadvantages of each system, and those are never advertised, and can hinder adoption or increase your expenses. When reviewing different systems, we recommend paying attention to the following:

  • Has required functionality

  • Fits your work style and process

  • Built using modern technology and infrastructure: offers API, is cloud-based

  • Easy to use and mobile

  • Cost effective

  • Easy to customize and integrate with other systems

  • Secure, and offered by trustworthy provider with sufficient resources to maintain and develop the system

CUSTOMIZE

Customizing a system to fit your needs is crucial for fast adoption and productivity gains. Poorly customized systems are hard to use and understand as they don’t support day-to-day operations. Such systems often create unnecessary work, rather than automating processes. Pay attention to the following during this stage:

  • Identify critical customization elements, and focus on implementing those first.

  • Roll out system to users as soon as you can, and perform all other customization based on user feedback

  • Update system labels to fit language used in your company

MIGRATE

Migrations are tedious, technical, and frustrating. No one likes them. But unless you are starting from scratch, you will have to deal with this process, or let us do it for you! Pay attention to the following:

  • Don’t rush the process or cut corners, you’ll end up spending a lot more time fixing those errors

  • Automate key data transformations

  • Make sure to preserve data integrity, have only one source where updates are made

  • Get rid of unnecessary data before the migration

Deploy

Deploy the system to your users as soon as critical customization and data migration are complete. It is important to start collecting user feedback as soon as you can, and make changes based on that feedback. This stage is often considered the final stage of implementation process, but we think of deployment as the first stage in the adoption process and all the previous stages as only preparation. It is critical to:

  • Communicate deployment plan and reasons for system implementation clearly

  • Ensure that your team members have time to pay attention to the new system

  • Assign tasks to users that can be completed only within the new system and monitor execution

  • Monitor system utilization using log and other available data

  • Identify and reword users who are most active in adopting new system

OPTIMIZE

The final and probably most important stage for successful adoption of any system. During this stage it is important to get all the feedback from users and add improvements to your system. It is crucial to be responsive to users and deploy improvements quickly, as well as explaining why some requests cannot be accommodated or have low priority. Incorporating such iterative approach will keep users engaged and excited about the new system. Make sure to:

  • Provide effective and transparent support channel

  • Make feature requests, feature up-voting, and delivery times available to all users

  • Release new functionality as soon as possible
